Privacy Policy

The short version

  • We collect your email and the inventory you create (bins, items, photos) to run the app and sync it across your devices.
  • Your photos and item text are sent to AI providers only to power Smart Scan and search.
  • We don’t sell your data or use it for advertising — there are no ad or tracking SDKs.
  • You can permanently delete your account and all of its data at any time, in the app or on the web.

Bin by Bin (“Bin by Bin,” “we,” “us”) is a home-inventory app operated by Shawn Edwards. This policy explains what personal information we collect, how we use it, who we share it with, and the choices you have.

Information we collect

  • Account. Your email address and a password. Passwords are stored only as a secure one-way hash (bcrypt) — we never keep your plain password.
  • Your inventory. The bins and items you create — names, descriptions, tags, quantities, barcodes, room and location labels, optional dates (expiry, warranty, maintenance, cancellation), loan details, and any photos you add.
  • Usage and limits. Counts of AI operations (Smart Scan, search indexing) and an estimated cost, plus a random per-session identifier used to attribute usage. That identifier is random — we do not use your IP address to track you.
  • Notifications. If you enable them, a push token from Google Firebase Cloud Messaging so we can send low-stock and reminder alerts.
  • Feedback. If you send feedback in the app, your message along with your app version, platform, and account email for context.
  • Technical. Standard server logs (such as request metadata) kept for security and reliability.

How we use it

  • Provide the service — store and sync your inventory across your devices and the web.
  • Power AI features — Smart Scan (identify items from a photo) and semantic search.
  • Send the notifications you’ve turned on (low-stock, expiry/warranty, loan reminders).
  • Keep accounts secure — sign-in, abuse rate-limiting, and usage limits.
  • Respond to your feedback and improve the app.

AI processing

To power Smart Scan and search, we send the relevant content to our AI providers: the photo you scan goes to Anthropic (Claude) to identify items, and your item and bin text goes to Voyage AI to build your search index. Under our agreements with these providers, your content is used only to return your result and is not used to train their models.

Providers we share data with

We rely on trusted service providers to run Bin by Bin. They process your data only to provide their service to us:

  • Neon — database hosting (account and inventory)
  • Cloudflare R2 — photo storage (private, access-controlled)
  • Railway — backend hosting
  • Vercel — web app hosting
  • Anthropic and Voyage AI — AI features (above)
  • Google Firebase Cloud Messaging — push notifications
  • Resend — verification and password-reset emails
  • GitHub — receives in-app feedback as a support ticket

We do not sell your personal information, and we do not share it for advertising.

How your data is protected

  • Encrypted in transit (HTTPS).
  • Passwords stored only as bcrypt hashes.
  • Photos live in a private bucket and are served through short-lived signed links — they aren’t publicly accessible.
  • Each account’s data is isolated from others’.
  • On your device, the app keeps a local copy of your inventory (it works offline) and stores your sign-in token in the operating system’s secure storage.

No method of storage or transmission is 100% secure, but we take reasonable measures to protect your information.

Keeping and deleting your data

We keep your data while your account is active. You can permanently delete your account and everything in it — every bin, item, and photo, on all devices — at any time:

Deletion is immediate and can’t be undone; you can sign up again later with the same email.

Your rights

Depending on where you live, you may have the right to access, correct, export, or delete your personal data. You can view and edit your inventory in the app and delete your account (which erases your data) as described above. For any other request, contact us below.

Children

Bin by Bin isn’t directed to children under 13 (or the minimum age in your region), and we don’t knowingly collect their data.

Where data is processed

Our providers are based in the United States, so your data is processed there. By using Bin by Bin you consent to this.

Changes to this policy

We may update this policy. We’ll revise the “Effective” date above and, for material changes, give notice in the app or by email.
